Terms & Conditions

 

  • BOOKINGS AND PAYMENTS

The dates of your booking will be held upon payment of a non-refundable deposit of 30% or payment in full. Any bookings less than 10 weeks in advance of your check in date must be paid in full immediately. On receipt of the deposit, a booking confirmation will be sent to you within 24 hours, containing the details of your stay and of payments made and due. If you have not received your booking confirmation within the specified time, please notify us as soon as possible. We’re sorry for any inconvenience, but payments can only be made by debit cards, bank transfer or credit cards. We do not except American Express or cash. Where a deposit has been paid, full payment will be due 10 weeks in advance of your check in date and a reminder will be sent to you, where applicable, by email. If you are unable to pay the balance before the stated due date, you will forfeit your deposit and your booking will be cancelled. Birdholme Glamping only accepts bookings from persons over 18 years of age. Birdholme Glamping reserves the right, at all times, without statement of reasons, to refuse a booking.

When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by post or email.

Security deposit – All bookings are subjected to a £100 refundable security deposit per lodge.

Booking Protect – This is a 3rd party independent company who give you an option to take out a refund protection on your booking, any claim must be made directly to them (the Vendor). Birdholme Glamping has no part of this organisation and therefore is not liable for any claim. To make a claim you must log in to them via their website www.bookingprotect.com.

We do always advise you to have some form of holiday insurance to cover you for any unforeseen circumstances that may occur.

  • PRICES

The prices feature on the website are not binding; Birdholme Glamping reserves the right to modify these prices. At the time of booking you will be informed of the prices applicable. The price stated on the confirmation invoice is binding.

  • RENTAL OF LODGES

In the rental price of every lodge the following is included: Rental of lodge, use of and access of field, use of water, use of BBQ/fire pit, gas, electricity and WIFI. – VAT according to the guidelines of the VAT-administration. We provide logs for the log burner and fire pit.
COVID 19 – Please don’t arrive if you or any of your party are showing signs of symptoms ie. High temperature, continuous cough or loss of taste and smell. Please be aware that if symptoms or a positive test result occurs prior to your arrival and affects your stay where the holiday must be cancelled, no monies paid will be refunded and we advise you to take out holiday insurance to cover you for this eventuality. If in the event of you or someone in your party starting to show symptoms of Covid 19 whilst you are staying in one of our lodges you are required to go for a test. The result of this test must be shown to the owner. If positive then the guest/party must leave immediately if this is reasonably possible. If for any reason this is not possible and self-isolation is required to take place here at Birdholme Glamping, then all fees for all bookings affected by this self-isolation will be borne by the guest.

  • ARRIVAL/CHECK-OUT

We operate a self check in and out policy. Our check in time is from 4pm on your arrival date and you will retrieve your lodge key from a keysafe box, this is located on the side of your lodge at the bottom of the steps, full instructions will be included in an email/Text.
Our check out time is 10am on your departure date as we need to access the lodge to clean and make ready for next guests arriving later that day. On the day of your departure please replace the key back in the keysafe before you leave. Any lost keys will result in a £25 charge.

  • CANCELLATIONS

Cancellations by you at any time will result in your deposit being forfeited, as all deposits are non-refundable. All monies paid for a holiday (deposit and balance) are non-refundable within 10 weeks before the check in date. Cancellation of any holiday after it has been paid in full and at a date 10 weeks or more in advance of your check in date, will result in forfeiture of your deposit (or an amount equivalent where one was not paid as the holiday was paid in full) and the balance being returned to you. In the case of a lockdown due to Covid 19 a voucher would be issued valid for 24 months for the value you had originally paid (if re-booking at a more expensive time of year you would need to pay any difference).
We do advise you to take out holiday insurance to cover you for every eventuality.

  • GROUP BOOKINGS

It is the right of Birdholme Glamping to refuse group bookings if we feel that this may be of detriment to other guests staying at Birdholme Wood. We do not accept Hen or Stag parties.

  • DAY VISITORS

In principle, it is permitted to receive visitors during your stay at Birdholme Glamping. To maintain the ambience and atmosphere of Birdholme Glamping we limit day visitors to one family per booking during your stay and must vacate the site by 10pm. Visitors are asked to leave their vehicles by the Office building as space for each lodge is limited. Visitors are not permitted to bring dogs.

  • PETS

Pets are only permitted with prior consent of the Owners and where pets are permitted there to be kept under control and on leads at all times when not in the lodge. Pets must not be left in the lodge unsupervised as this could result in damage and distress to the animal (s). There is a £30 tariff payable per pet and we provide a bed, towel and bowls for your dog during your stay. Please clean up after your dog using poo bags and kindly place them in the designated bins provided. Please refrain your dogs from going onto the furniture or beds.

  • GUEST BEHAVIOUR – The holiday; guest conditions of occupancy and conduct.

The guests have the right to occupy the property for the paid for holiday period only (within the meaning of Schedule 1 Paragraph 9 of the housing Act 1988). Guests undertake to behave in a proper, appropriate and legal manner with due respect to the owner, the Property and other guests and their property. If any guest behaves inappropriately or improperly (of which the Owner will be the final judge on their Property), or illegally, the Owner reserves the right to ask the guest and their party (at their discretion) to leave the Property before the end of the holiday period. Any refund for so doing will be at the entire discretion of the owner. In addition, the Owner reserves the right to sue the guest for any loss, damage or injury caused to the Owner, the Property or to other guests and/or their property.

  • BREACH OF BOOKING CONDITIONS

If there is a breach of any of these conditions by the Guest or any of their party, the Owners reserve the right to re-enter the Property and end the holiday and ask the Guest and their party to leave in addition to their other rights specified in these Booking Conditions. Ending the Holiday by the Owners or the guests does not affect that party’s other rights and remedies.

  • GOVERNING LAW AND JURISDICTION

Any dispute will be governed by the non-exclusive law and jurisdiction of English Courts.

  • SMOKING

Smoking is not permitted in our lodges and must only be permitted in the designated areas. Please do not throw cigarette ends in the field as the flower meadow can be highly flammable.

  • AUTHORITY TO SIGN

The person who books the accommodation certifies that:

  • He or she is authorised to agree the Booking conditions on behalf of all persons in their party;
  • The signatory must be over eighteen years of age;
  • They agree to take responsibility for the party occupying the Property, and to notify the Owners if they are not a member of the holiday party.

 

  • LIABILTY

Nothing in these conditions excludes or limits the liability of the Owners: for death or personal injury caused by the Owners negligence. – for any matter which it would be illegal for the Owners to exclude or attempt to exclude their liability.
The use of Hot Tubs, fire pit/BBQ, lakes, climbing trees, playing in the stream or any other activity on the Owners land is the responsibility of the Guest and is done so at their own risk.
Assumption of Risks – you will be staying in the countryside and there will be equipment around within the boundaries amongst other hazards. Whilst we take care to keep you safe, accidents can happen and we are not held responsible for such accidents (to the greatest extent permitted by law). It is your responsibility to supervise any children. If you notice that any equipment looks faulty and/or unsafe you must inform the Owner as soon as possible. We strongly recommend that you take out travel insurance against the risk of accidents and your stay being cut short or cancelled.
Birdholme Glamping accepts no liability for theft, loss or damage, of whatever nature, during or as a result of a stay at Birdholme Glamping. – the Guest and those who accompany him or her, are jointly and severally responsible for all loss and/or damage which arises, for Birdholme Glamping and, or any third party as a direct or an indirect consequence of their stay, irrespective of whether this was caused through action or refraining from actions by themselves or by third parties, who are at Birdholme Glamping their making, as well as of all damage which is caused by any animal and/or matter which the have under their responsibility. -If you leave your lodge in an improper condition, additional (cleaning) costs can be charged.

  • FORCE MAJEURE

Force majeure on the side of Birdholme Glamping exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Birdholme Glampingincluding threat of war, staff strikes, blockades, fire, floods, pandemics and other disruption or events. In the event of Force Majeure no refunds will be given.

  • EV CHARGING

We don’t provide a charging facility onsite and a domestic charger like a ‘Granny Charger’ or ‘Trickle Charger are not permitted to recharge your vehicle through the window of your lodge as this can cause a fire hazard. As a guest it is your responsibility to locate a charging point with in the area.

  • CCTV

This is in operation 24hrs a day to protect and prevent Guests and Birdholme from theft and damage, this is in operation at the gate and in communal/public areas of the site and will not focus on private spaces which are enjoyed by guests.

  • COMPLAINTS

Despite all the care of Birdholme Glamping it could occur that you have a genuine complaint. You must take up this complaint with the Owner immediately, in order to allow us to solve the matter a soon as possible. Should the complaint not be settled to your satisfaction, then you have the option, up to 14 days after your departure to submit the complaint in writing or by email to booking@birdholmeglamping.co.uk

  • VALIDITY CLAUSE

In the event that a court finds that a condition in these Booking Conditions is illegal or void, the illegal or void provision will be severed from the remainder of the Booking Conditions, which will continue to be valid and have full force and effect.

  • COMPETITIONS/GIVEAWAYS

If you enter a competition/giveaway and have won, this cannot be exchanged/refunded for any monetary value. The competition dates stand and cannot be amended if you are unable to use the prize.
